Managing Overtimes
This module enables you to record and manage employee overtime hours and calculate the corresponding additional pay based on predefined rates.
Overview
The Overtimes Management system allows for accurate tracking of extra hours worked by employees. It calculates overtime pay based on the type of overtime (Regular, Holiday Day/Night) and the applicable percentage rate, integrating this information for payroll processing.
Managing Overtimes
Follow these steps and guidelines to manage employee overtime records:
1. Search and Filter Records
Use the main search bar at the top to quickly find overtime records by employee name/ID or date.
For more specific filtering, click the "Filters" button. You can filter by date range (Start Date, End Date) and Employee (search by name or ID). Click "Apply Filters" to see the results. Use "Reset Filters" to clear selections.
2. Add or Edit an Overtime Record
Click the "Add New" button () to create a new record, or the Edit icon () in the table to modify an existing one. A modal window will appear.
- Select Employee: Start typing the employee's name or ID. Select the correct employee from the suggestions. Only active employees can be selected.
- Date: Select the date the overtime occurred.
- Type Overtime: Select the type: Regular, Holiday / Day, or Holiday / Night. Required.
- Percentage: Based on the Type selected, choose the applicable overtime percentage rate from the dropdown (e.g., 25%, 50%, 75% for Regular; 100% for Holiday). Required.
- Hours: Enter the number of overtime hours worked. Required and must be numeric.
Click "Create" or "Update" to save. The overtime pay amount is calculated automatically based on the employee's salary, hours, and selected percentage.
3. Review Overtime Records
The main table displays overtime records. You can:
- Sort Data: Click on column headers (Employee ID, Name, Date, Percentage, Hours, Total Overtime) to sort the table accordingly.
4. Delete an Overtime Record
Click the trash can icon () in the table row. You will be asked to confirm the deletion. If confirmed, the overtime record will be permanently removed.
5. Export Data
Click the "Export to Excel" button to download the currently displayed overtime data (respecting any active search and filters) as an Excel (.xlsx) file.
